# Media library

The media library holds every file you host with FullHouse. Upload a file once and use it in as many webinars and challenges as you like. Files stay until you delete them.

![The Media page, for uploading and managing files](/images/media-library.jpg)

Open **Media** in the main sidebar.

## What you can upload

| Type | Tab | Formats | Largest file |
| --- | --- | --- | --- |
| Video | **Videos** | MP4, M4V, MOV, WebM | 20 GB |
| Image | **Images** | PNG, JPG, JPEG, GIF, WebP | 25 MB |
| Download | **Files** | PDF, ZIP, DOCX, XLSX, PPTX, EPUB, CSV, TXT, MP3, M4A | 1 GB |

Files also have to fit in your [plan's storage](/workspace/plan-usage#storage). SVG images aren't accepted.

FullHouse checks that a file's contents match its extension after it arrives. A file that doesn't match is removed and you're asked to export it again.

## Upload files

1. **Add your files**

   Click **Upload** at the top of the page and choose one or more files, or drag them onto the page.
2. **Wait for them to finish**

   Each file shows progress, speed and roughly how long is left. Keep the page open. Your browser warns you if you try to leave mid-upload, because leaving cancels it. Click **Cancel** to stop one.
3. **Use them**

   Finished files join your library. Select them from any **Choose from Media** button.

If your connection drops for a moment, FullHouse retries that piece of the file automatically, so large videos survive small interruptions. If it can't recover, you'll see an error and need to start again.

You can also upload from wherever you need a file. **Choose from Media** in the webinar editor or on the Branding page has an **Upload new** button, and the file joins the library too. Closing that window cancels the upload. AI tools connected through the [MCP server](/mcp/what-it-can-do) can add files as well.

:::tip
Export webinar videos as MP4 with H.264 video. It plays almost everywhere. FullHouse checks each video when it finishes uploading and tells you about anything that might cause a problem. See [Video](/webinars/video).
:::

## Find a file

The tabs at the top filter by type: **All**, **Videos**, **Images** and **Files**, with a count on each. Files are listed newest first. There are no folders, so give files clear names. **Choose from Media** windows also have a **Search by name** box.

Each card shows a preview, the name, size and upload date, and where it's used.

## Use a file

Wherever FullHouse takes a file, look for **Choose from Media**. It only shows the right type for that spot, and shows how many times each file is already used.

- **Copy link** copies the file's public address, for pasting into an email or a page.
- The arrow icon, or clicking the preview, opens the file in a new tab.

:::caution
Files are served from public addresses. Anyone with the link can open the file, without signing in. Don't upload anything you need to keep private, and treat a handout's link as shareable.
:::

## Rename a file

Click the pencil icon, change **Name** and click **Save**. Names can be up to 200 characters. This only changes the label you see in FullHouse: the link and the original filename stay the same, so nothing breaks.

## See where a file is used

Each card lists up to two places, such as "Used in Spring masterclass (video), Launch webinar (emails) and 2 more", or **Not used yet**. Click a name to open it. FullHouse looks for the file in:

- A webinar's **video**
- Webinar and challenge **page** content, including presenter photos
- **Timeline** items such as offers and handouts
- **Emails**
- Your **logo** in Branding

## Replace a file

There's no way to swap the contents of a file while keeping its link. To change one:

1. Upload the new version.
2. Select it in each place that uses the old one. The card shows you where.
3. Delete the old file once it shows **Not used yet**.

Read [Video](/webinars/video) before you change the video on a webinar people are registered for.

## Delete a file

Click the trash icon and confirm. The file is removed for good and its space is freed straight away. This can't be undone.

You can't delete a file that's in use, and the trash icon is disabled on those cards. If you do reach that point, you'll see a message listing where it's used:

```text
Intro.mp4 is still used by Spring masterclass (video). Replace it there first, then delete it.
```

Replace it in those places first. Deleting a webinar frees up its files for deletion, but doesn't delete them, so check your library when you're tidying up.

## Upload errors

| Message | What to do |
| --- | --- |
| FullHouse can't host this kind of file. Upload a video, an image (PNG, JPG, GIF, WebP) or a download (PDF, ZIP, Office, EPUB, CSV, TXT, MP3, M4A). | Convert it to one of the accepted formats. |
| Choose a PNG, JPG, GIF or WebP image. (or the equivalent for videos and files) | You've chosen the wrong type for this spot. |
| Videos can be up to 20.0 GB each. | Compress the file. Images have a 25 MB limit and downloads 1.0 GB. |
| That file is empty. | Export the file again. |
| This file is 2.4 GB but your plan has 600 MB of storage left... | [Make room](/workspace/plan-usage#storage), or make the file smaller. |
| That file isn't a video FullHouse can play. Export it as MP4 (H.264) and upload it again. | Re-export it. Renaming the extension won't work. |
| That file isn't really a .pdf file. Export it again and upload that. | The contents don't match the extension. Re-export it. |
| The upload arrived incomplete. Try again. | Upload it again, ideally on a steadier connection. |
| Network error while uploading. Check your connection and try again. | Check your connection and upload again. |
| Too many attempts. Please retry later. | You started more than 30 uploads in a minute. Wait a moment. |

A failed upload stays at the top of the page with its message until you dismiss it with the **×** beside it. An upload that's never finished is canceled after 24 hours, and its reserved space is returned.
