# Challenge emails

Emails belong to each day, not to the challenge. Every day has its own copy of each template, so you can write Day 3's reminder differently from Day 1's.

## What's on by default

New challenge days have these emails on or off:

| Email | When it sends | Day 1 | Other days |
| --- | --- | --- | --- |
| **Registration confirmation** | Right after sign-up | On | Off |
| **24-hour reminder** | 24 hours before that day | On | On |
| **1-hour reminder** | 1 hour before that day | On | On |
| **15-minute reminder** | 15 minutes before that day | On | On |
| **Attended follow-up** | 1 hour after that day ends, if they joined live | Off | Off |
| **Missed follow-up** | 1 hour after that day ends, if they didn't join live | Off | Off |
| **Replay available** | 3 hours after that day ends, or when its replay opens if that's later, if they missed it or watched under 90% live. Not sent when replay is off | Off | Off |

So someone who signs up early for a 3-day challenge gets 10 emails: one confirmation and three reminders a day.

## Edit a day's emails

1. **Open the day**

Go to **Challenges → your challenge → Hub & days** and choose **Room & video** on the day's card.
2. **Choose the step**

In **Set up**, open [Reminder emails](/webinars/reminder-emails) or [Follow-up emails](/webinars/follow-up-emails).
3. **Edit, switch off or switch on**

Changes affect that day only. Repeat for each day you want to change.

Emails only go out once your workspace can send. See [Email sending](/workspace/email).

## What the links do in a challenge

The same [merge tags](/reference/merge-tags) work, but some behave differently for people in a challenge:

| Tag | In a challenge |
| --- | --- |
| `{{join_link}}` | The person's **hub**, not the day's room |
| `{{replay_link}}` | The person's **hub**, not the day's replay |
| `{{calendar_link}}` | A calendar file for **that day only** |
| `{{webinar_title}}` | **That day's title**, not the challenge's |
| `{{session_date}}`, `{{session_time}}` | That day's date and time, in the time zone recorded at sign-up |

A link to the hub alone on its line becomes an **Open your challenge** button. Sending everyone to the hub means one link keeps working for the whole challenge. It also means a person clicking a reminder lands on the hub rather than in the room, so keep [Doors open](/challenges/registration-hub#set-up-the-hub) at 15 minutes or more.

## What to change from the defaults

The default wording was written for a single webinar. Before you publish:

- **Rewrite the confirmation.** It goes out on Day 1's template, so its subject reads "You're in — Your Day 1 title" and it describes one session. Mention the whole challenge and every date. `{{join_link}}` is the hub, so call it their challenge page. Its `{{calendar_link}}` only adds Day 1, so point people to the hub's calendar button for all the days.
- **Rethink the 24-hour reminders.** Day 2's 24-hour reminder sends at the moment Day 1 starts, and so on for later days. People get it while they should be watching. Switch it off from Day 2 onward, or reword it and let your 1-hour reminder do the work.
- **Watch the volume.** Three reminders a day over a long challenge adds up. On a 7-day challenge that's 22 emails per person, which also counts toward your [sending allowance](/workspace/plan-usage).
- **Make each reminder specific.** Say what Day 3 covers, and why it's worth turning up.

## Follow-ups are off by default

Without follow-ups, the hub is the only place people find out about replays. To remind people who missed a day, switch on **Missed follow-up** or **Replay available** on that day. Their `{{replay_link}}` goes to the hub, so also check **Replays in the hub** is on and the day's replay is still open when the email lands. See [Set the replay for each day](/challenges/days#set-the-replay-for-each-day).

## Late joiners

Someone who signs up after the start is still enrolled in every day:

- The confirmation goes out straight away, even though Day 1 has passed, because it's the only email with their hub link by default.
- Reminders whose time has already passed are skipped. A person signing up 30 minutes before a day gets only that day's 15-minute reminder.
- They get no **Attended follow-up** or **Missed follow-up** for a day that has already finished.
- They get a finished day's **Replay available** only if it's switched on and that day's replay is open or will open. If its time has already passed, it goes straight away.
- Days still to come plan everything as normal.

## When the schedule changes

If you [change the dates or time](/challenges/publish-manage#change-the-schedule), every email that hasn't gone out moves with its day:

- Emails already sent aren't sent again, and nobody is told about the change automatically.
- A reminder whose new time has already passed sends at once.
- **Replay available** moves with the day's new end time.

If you add a day, everyone already signed up is enrolled in it and gets its reminders.

## Unsubscribing covers the whole challenge

Every email's footer has an **Unsubscribe** link. Whichever day's email it comes from, confirming stops the emails for **every day of the challenge**, including days you add later. All their waiting emails are canceled, and their hub and join links keep working. See [Attendee emails and unsubscribing](/attendees/emails-unsubscribe).

A red **Unsubscribed** label shows on the person's row on any day's [Registrants](/run/registrants) tab. You can [unsubscribe or resubscribe someone there](/run/registrants#registrants-in-a-challenge), and that covers every day too.

## The access link email

If someone signs up again with an address that's already in, they get a separate short email with the subject "Your access link: your title" containing their hub link. You can't edit or switch off this email. It goes out at most once every 10 minutes per person and has no unsubscribe link, so it still sends to someone who has unsubscribed and asks for it again.
